2. What data we collect

We collect the following categories of personal data:

Account information
Email address, name, and hashed password when you register
Job preferences
Job titles, industries, skills, experience level, location preferences, salary expectations, visa requirements, and free-text career descriptions you provide
Usage data
Jobs viewed, saved, or marked as applied; login timestamps; pages visited
Payment data
Processed by Stripe — we do not store credit card numbers. We receive your Stripe customer ID and subscription status
Technical data
IP address, browser type, device information, collected automatically through server logs

3. How we use your data

We process your personal data for the following purposes:

  • • Job matching: To match job listings to your preferences using AI algorithms and vector similarity search
  • • COS verification: To check employer names against the UK Government's Register of Licensed Sponsors
  • • Account management: To create and maintain your account, authenticate sessions, and process password resets
  • • Subscription billing: To manage your subscription through Stripe and provide access to paid features
  • • Service improvement: To improve the accuracy of our AI matching and the quality of our service
  • • Communications: To send you job match notifications, account updates, and service announcements

4. Legal basis for processing (GDPR)

We process your personal data under the following legal bases under the UK GDPR:

  • • Contract: Processing necessary to provide the service you signed up for (account management, job matching, notifications)
  • • Legitimate interests: Service improvement, security, and fraud prevention, where our interests do not override your rights
  • • Consent: For optional marketing communications — you can withdraw consent at any time

5. How we share your data

We do not sell your personal data. We share data only with the following categories of processors:

  • • Stripe: Payment processing (US-based, EU-US Data Privacy Framework certified)
  • • Google (Gemini API): AI processing for job matching and embedding generation — we send anonymised job preference text, not personal identifiers
  • • Hosting provider (Hostinger): Server infrastructure located in the EU

We do not share your personal data with job providers. When you click "Apply" on a job, you leave our platform and interact with the third-party job source directly.

6. AI processing

JobWizard AI uses artificial intelligence to match jobs to your preferences. This involves converting your preferences into numerical vector representations (embeddings) using Google's Gemini API, then comparing these against job listing vectors stored in our Qdrant database. The AI also generates relevance scores and explanations for each match. No automated decisions with legal or significant effects are made — all matching is advisory only, and you choose which jobs to apply for.

7. Data retention

We retain your data as follows:

  • • Account data: Retained while your account is active. Deleted within 30 days of account deletion request
  • • Job match history: Retained for 90 days, then automatically deleted
  • • Job listings: Expired listings older than 30 days are automatically deleted from our database
  • • Server logs: Retained for 30 days for security and debugging purposes
  • • Payment records: Retained for 7 years as required by UK financial regulations

8. Your rights (UK GDPR)

Under the UK GDPR, you have the following rights:

  • • Right of access: Request a copy of all personal data we hold about you
  • • Right to rectification: Request correction of inaccurate data
  • • Right to erasure: Request deletion of your personal data ("right to be forgotten")
  • • Right to restriction: Request that we limit how we process your data
  • • Right to data portability: Request your data in a machine-readable format
  • • Right to object: Object to processing based on legitimate interests
  • • Right to withdraw consent: Withdraw consent for optional processing at any time

9. Cookies

We use essential cookies only — specifically, a session token (JWT) stored in your browser to keep you logged in. We do not use advertising cookies, tracking cookies, or third-party analytics cookies. No cookie consent banner is required for essential-only cookies under UK ICO guidance.

10. International data transfers

Some of our processors (Stripe, Google) are based in the United States. These transfers are protected by the EU-US Data Privacy Framework and/or Standard Contractual Clauses (SCCs) as appropriate under UK GDPR requirements. Our primary server infrastructure is hosted in the EU.

11. Security

We implement appropriate technical and organisational measures to protect your data, including: HTTPS encryption for all connections, bcrypt password hashing, JWT authentication with secure tokens, rate limiting to prevent abuse, database access restricted to localhost only, and regular automated cleanup of expired data.

12. Children

The Service is not intended for individuals under 18 years of age. We do not knowingly collect personal data from children. If we become aware that we have collected data from a child, we will delete it promptly.

13. Changes to this policy

We may update this privacy policy from time to time. Material changes will be notified to registered users by email. The "Last updated" date at the top of this page indicates the latest revision.
